How to add a homeowner in TOPS [ONE]

This guide will give you step by step instructions on adding a homeowner to TOPS [ONE] 

 

STEP-BY-STEP

1. Select Portfolio and click Owners.

2. Select Actions and click Add Primary Owner.

3. Under Property type in the:

  • address
  • unit number
  • lot number or account number to select the property.

4. Under Name, fill in the fields that are applicable.

  • Name – these fields are for the owner’s first, middle, and last name respectively.
  • Display Name – By default, this field automatically pulls the fields above. The display name is the primary name used. It can also be used in the search fields to locate an owner.

5. Under Address, you have the option of adding in an additional addresses (that differ from the property address).

Click on Add (Portfolio_Add.png) to bring up your options.

  • Main
  • Home
  • Work
  • Other
  • Return Payment
  • Lockbox
  • Community Office
  • Management Office
  • Alternate
  • Billing
  • Property
  • Click on the radio button (Portfolio_Radio_Button.png) next to Primary Mailing Address to make the address the primary mailing address.
  • Note: You can click on the X (Portfolio_Remove.png) to remove the address.
    • Doing so will prompt you to confirm that you want to remove the selection.

6. Under Phone, you have the option of adding in phone numbers for the owner.

  • Click on Add (Portfolio_Add.png) to bring up your options.
    • Work
    • Home
    • Fax
    • Mobile
    • Main
    • Other
  • Click on the radio button (Portfolio_Radio_Button.png) next to Primary Phone to make this phone number the primary contact number.
  • Note: You can click on the X (Portfolio_Remove.png) to remove the phone number.
    • Doing so will prompt you to confirm that you want to remove the selection.

7. Under Email & Websites, you have the option of adding an email(s) or a website(s) to the owner’s account.

  • Click on Add (Portfolio_Add.png) to bring up your options.
    • Website
    • Email
    • Facebook
    • Twitter
    • Pinterest
    • Blog
    • Other
    • Reply To
  • Click on the radio button (Portfolio_Radio_Button.png) next to Primary E-mail to make this E-mail the primary contact E-mail.
  • Note: You may have more than one E-mail.
  • Note: You can click on the X (Portfolio_Remove.png) to remove the E-mail or Website.
    • Doing so will prompt you to confirm that you want to remove the selection.

8. Finally, click on Save (Portfolio_Save.png).

Pro Tip:

  • Click on Save & Add New (Portfolio_Save___Add_New.png) if you’re going to add another owner.
    • Repeat the steps above to enter in the owner’s information.
