Adding a renter in TOPS [ONE]

The Portfolio module is used to manage agents in your company. The following steps walk you through adding a renter to a property in a selected community.

Step-by-Step

  • Click Portfolio and select Owners.
  • Click Actions and select Add Renter.
  • Under Property, type in the address, unit number, lot number, or account number to select the property.
  • Under Name fill in the fields that are applicable.
    • Name – these fields are for the renter’s first, middle, and last name respectively.
    • Display Name – By default, this field automatically pulls the fields above. The display name is the primary name used. It can also be used in the search fields to locate a renter.
      • Note: The display name can be anything you want it to be, but keep in mind that it will show on reports as well as the property tile.
    • Under Address, you have the option of adding in an additional addresses (that differ from the property address).
      • Click on Add (Portfolio_Add.png) to bring up your options.

  • Click on the radio button (Portfolio_Radio_Button.png) next to Primary Mailing Address to make the address the primary mailing address.
  • Note: You can click on the X (Portfolio_Remove.png) to remove the address.
    • Doing so will prompt you to confirm that you want to remove the selection.
  • Under Phone, you have the option of adding in phone numbers for the renter.
    • Click on Add (Portfolio_Add.png) to bring up your options.

      • Mobile

      • Other
  • Click on the radio button (Portfolio_Radio_Button.png) next to Primary Phone to make this phone number the primary contact number.
  • Note: You can click on the X (Portfolio_Remove.png) to remove the phone number.
    • Doing so will prompt you to confirm that you want to remove the selection.
  • Under Email & Websites, you have the option of adding an email(s) or a website(s) to the renter’s account.
    • Click on Add (Portfolio_Add.png) to bring up your options.

      • Facebook
      • Twitter
      • Pinterest
      • Blog
      • Other
      • ReplyTo
  • Click on the radio button (Portfolio_Radio_Button.png) next to Primary E-mail to make this E-mail the primary contact E-mail.
  • Note: You may have more than one E-mail.
  • Note: You can click on the X (Portfolio_Remove.png) to remove an E-mail or website.
    • Doing so will prompt you to confirm that you want to remove the selection.
  • Finally, click on Save (Portfolio_Save.png).
    • Click on Save & Add New (Portfolio_Save___Add_New.png) if you’re going to add another renter.
      • Repeat the steps above to enter in the new renter’s information.
