TOPS [ONE] easily lets you compare and filter your budgets and prior actuals.
This guide will go over the newly update filter section.
How to Get There
1. On the navigation pane on the left, click General Ledger then Budgets
2. Go to your community page, then go to Related Links
Click Additional Filter
The blue box will indicate your selection. When selecting an option for function, the display page and the action button menu changes.
Budgets Predicted balance for Income/Expenses accounts
When Selected, will show the selected Fiscal Year budgets data
Edit Budget - Add and Distribute a budget for each account
Import Budget – Use a .CSV file to import budgets
Export Budget Exports your current Budgets to a .CSV file
Note: To easily import your budgets for your community, use the export budgets option to download your communities budget .csv, add and save your changes, and use the import budgets section to add your budgets.
Copy Budgets Copy budgets from previous years and gives you the option to easily increase the budgets by a percentage
Prior Actuals How much was actually spent the prior year.
Edit Prior Year Actual Add and Distribute a budget for each account
Import Prior Actuals Use a .CSV file to import prior actuals
Export Prior Actuals Exports your prior actuals to a .CSV file
Note: To easily import your prior actuals for your community, use the export prior actuals option to download your communities budget .csv, add and save your changes, and use the import prior actuals section to add your actuals.
Calculate Prior actuals calculates the Account Balances for the corresponding period of the prior year. CALCULATING YOUR DATA WILL OVERWRITE YOUR EXISTING ACTUAL.
The Prior Year Balance is computed based on the Account Type of the general ledger account number.
Calculate Prior Actuals can be run at any time, just verify your selection by clicking yes or no.
When both options are selected
When both options are selected, you will see the prior actuals, the selected years budget, and the difference between both numbers.
Select the drop down menu to change fiscal years. The selection will always default to the current year.
the default accounts are Income Accounts and
Expense Accounts. These are the typical account types for entering budgets.
Asset Accounts – Cash, accounts receivable, fixed assets and the like.
Normally, you would NOT enter budgets for these account types.
Liability Accounts – amounts owed to others, notes payable, deferred
revenue and the like. Normally, you would NOT enter budgets for these
Equity Accounts – Reserves fund balances, accumulated profit and losses,
contributed capital and the like. Normally, you would NOT enter budgets for
these account types.
Income Accounts – Assessment income, late fees, special assessments and
the like. Normally you WOULD budget for these account types.
Expense Accounts – Insurance, utilities, lawn maintenance and the like.
